WAMS Business Manager

Position Summary
The Business Manager is responsible for the planning, implementation, and evaluation of all business and administrative operations for WAMS. This role ensures organizational sustainability through rigorous financial oversight—including payroll, billing, and contract management related to the organization. The Business Manager ensures that facilities and resources are optimized to support high-quality patient care delivery.
Essential Functions
Financial Operations & Revenue Cycle Management
Payroll & Benefits: Execute and oversee the full payroll process, ensuring accuracy, tax compliance, and timely distribution for all clinical and administrative staff.
Billing & Claims Processing: Supervise all elements of patient and organization billing to ensure timely submission of claims, efficient payment posting, and proactive management of accounts receivable.
Insurance Management: Manage the organization’s professional and liability insurance portfolios; serve as the point of contact for payer contract renewals once initiated.
Contract Administration: Negotiate, implement, and monitor vendor contracts, service agreements, and leases to ensure cost-effectiveness and compliance.
Fiscal Oversight: Collaborate with the directors to provide financial reports and metrics to the CEO and board to ensure an appropriate budget is completed annually.
Operational Leadership & Clinic Administration
Provide direct leadership for WAMS reception staff including operational oversight, decision making and accountability for patient scheduling and billing.
Work in collaboration with Clinic Nurse Manager on patient disputes and complaints. Will be lead on touching base with patients after working with the medical team.
Serve as the primary liaison with external partners and internal departments such as IT, Accounting, and other departments as assigned by the CEO and/or Operations Director to analyze activities affecting WAMS operations.
Manage facility resources, including common building processes, purchasing related to office, and administrative support systems.
Strategic Planning & Continuous Improvement
Collect and analyze clinical and financial data to create visual systems and presentations for executive decision-making.
Develop in collaboration with the CEO to create and submit proposals and business plans to project future resource needs and utilization trends.
Safety & Regulatory Compliance
Serve as the designated Safety Officer, leading the safety committee, emergency drills, and EOC for regulatory compliance.
Assure emergency preparedness through regular audits, staff training, and coordination with Safety Systems directors.
Customer Service & Community Engagement
Represent WAMS at community events and with volunteer agencies to foster local partnerships.
Qualifications
Required Education & Experience
Education: Bachelor’s degree in business, Healthcare Administration, or a job-related field.
Leadership: 1 -2 years of direct experience in business management in a medical setting.
Technical Skills: Proven experience in payroll processing, contract management, and financial data analysis.
Improvement Science: Demonstrated experience implementing strategic initiatives
Knowledge, Skills, and Abilities
Comprehensive understanding of ambulatory operations and medical billing cycles.
Proficiency in MS Office Suite (Excel, Visio, Project) and a solid understanding of EMR systems.
Management style emphasizing collegiality, teamwork, and a solution-oriented approach.
Ability to work independently within deadlines and resource constraints.
